Reports to the finance & administration director. Directly supervises the student records clerks. Responsible for management of student records, accountability and data integrity in compliance and adherence to government and management directives.

Essential Functions:

  1. Plan, coordinate and supervise the administrative, program auditing and student records systems activities of the department. Track and communicate on board strength (O.B.S.) to managers and directors upon request.
  2. Provide staff training, evaluate staff center performance and recommend and implement department and personnel changes as approved by the deputy center director and coordinated with the director, human resources prior to implementation. Provide cross‑training to staff to provide adequate back‑up coverage.
  3. Develop departmental budget; monitor and control expenditures. Review and recommend changes to budget authorizations.
  4. Assist in the development and implementation of new and revised policies and procedures affecting student records.
  5. Review and audit all assigned areas regularly for contractual compliance and effectiveness of delivery of services to students. Prepare related reports.
  6. Monitor the quality and accuracy of student records by ensuring forms are completed in a timely and accurate manner, data is input or posted to files; maintain reports.
  7. Audit student records to ensure compliance with regulations.
  8. Serve as the point of contact for MTC data integrity and accuracy policies.
  9. Respond to student and staff inquiries regarding student records; ensure Privacy Act compliance; provide technical assistance on student records as necessary.
  10. Occasionally requires physical exertion to manually life, move, pull, push, or carry materials or objects.
  11. Maintain a safe and clean work area that models high standards for a work environment.
  12. Provide positive, quality customer services to students, staff and other center customers.
  13. Participate in student employability programs and activities.
  14. Support, promote, and enforce the Job Corps’ Zero Tolerance Policy.
  15. Promote the development of Career Success Standards by modeling appropriate behaviors, mentoring students where necessary and monitoring both positive and negative behaviors through interventions.
  16. Maintain accountability of students and property; adhere to safety practices.
  17. Cultivate and maintain a climate on center which is free of harassment, intimidation and disrespect to provide a safe place for staff and students to work and learn.

It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.

Education and Experience Requirements:

Associate’s degree and two years related experience, one of which should be supervisory.  Directly related experience may be considered in lieu of formal education requirements.  Experience with youth, excellent written and verbal communications skills and computer proficiency required.  Valid driver’s license with an acceptable driving record.
